Agent

Hired, but not through you

You put a candidate forward and then it goes quiet. Months later the candidate turns out to work there. The Backdoor Hire Notifier flags it the moment that becomes visible.

Why this agent exists

You have the right. Not the view.

A backdoor hire rarely happens in one go. It happens over time, and that gap is exactly where nobody is looking anymore.

1
The introduction

You put someone forward

A candidate from your own records interviews at one of your clients. The introduction is on file.

2
After that

It goes quiet

No placement, no rejection. The record stays open and slides down the list.

3
Months later

Hired anyway

The candidate's public profile shows a new employer: the exact company you made the introduction to.

4
Meanwhile

The window runs

From his first working day the window in your own terms is ticking. Nobody is looking at that record, so nobody sees the clock run.

Almost every set of terms has an introduction clause with a window. So you usually do have a right to that fee. You can only claim what you notice, though.

What the agent does

From your own introduction to a heads-up in your feed

This agent looks at the combination. It only speaks up when your introduction, the new employer and a missing placement line up.

Backdoor Hire Notifier

When it triggers: for all candidates, when a social media profile shows a new current job or work experience.

Check the proposal history: use Proposals and later placements to retrieve which companies you proposed this candidate to, and when. Compare those with the candidate's placements and start dates.

Match the evidence: notify only when the new employer matches one of the companies from the proposals.

Action: when a match is found, create one post in your feed with Possible backdoor hire. State the verified proposal and hiring facts. Do not present it as a confirmed violation.

Runs on every profile change, lands as a post in your feed

This is the configuration as it stands in Spadework. Same structure as every other agent.

Step 1

Candidate changes jobs

Public profile. A new employer appears. That is all the agent needs to start looking.

Step 2

Submissions pulled up

From your own ATS. Who you put this candidate forward to, when, and which placements are on file.

Step 3

Side by side

Three things together. Your submission, the same employer, no placement. Then the signal stands.

Step 4

One post in your feed

Date and file included. Your submission, the new employer and what is missing, in one post.

There may be a good explanation. The post only says something is missing in your records.

What you do with it

The fee is still yours

Or the placement did happen and was simply never recorded. Both are worth knowing within a few weeks rather than never.

1

You still send the invoice

You have the introduction on file and you are in time. That is a different conversation than the one you have a year later.

2

Or you fix your records

If there was a placement after all, your file adds up again and the revenue counts where it belongs.

3

And you learn which clients do this more often

Once is a misunderstanding. Three times with the same client is a topic for your next contract review.

Curious what is sitting in your own records?

In the second conversation we run this agent on your own data. You will not see an example, you will see your own candidates.

You do not have to connect anything to have the conversation.

Every agent is in every plan. You do not pick agents and you do not pay per agent. You pay for the number of profiles and organisations you follow. See pricing

Good to know

Frequently asked questions.

What an agent costs, what you can build yourself, and whether GDPR allows it. Short answers, no small print.

Yes. You don't pick and you don't pay per agent. You turn on what you need.

Yes, both. Every agent is the same sentence: for whom, when, and then what. You adjust those parts, or put a new agent next to them. No programming needed.

Yes. Spadework works within your own database, on people who are there with consent, and it is built and hosted in the EU. Nobody outside your own network enters the system. Nothing is pooled either. One agency's data never ends up with another.

No. Spadework has formal partnerships with OTYS, Carerix, Byner and Mysolution, and also integrates with Bullhorn, Salesforce, Tigris, Yellow Yard and RecruitNow. If yours is not on the list, we look at it with you and get the integration built. Without an ATS you upload your contacts and receive your opportunities by email.

FAQ

Find the answers to your questions here

I already use ChatGPT, why should I let Spadework generate my documents?

You can use ChatGPT to rewrite resumes, but you need to copy the text into Word to apply your own style. That's often where it goes wrong: the formatting jumps, and it rarely looks really sharp. Spadework works with an editor specifically designed for resumes. You can easily move headers, add elements, and edit text, and this always results in a perfect outcome, hassle-free. Additionally, ChatGPT often generates generic texts, which causes you to lose your own style as a company or recruiter. With Spadework, you develop and use your own tone of voice, saving time while retaining your unique appearance.

How does your pricing model work? Do I pay for multiple CVs for the same candidate?

At Spadework, the pricing model works solely based on usage. You choose a package based on how many CVs you want to convert, candidates you want to update, and/or describe Vacancies. Adding extra users is free of charge. For exact prices, we have a calculator in the tool.

How safe is my data?

In project staffing, data security is crucial. Spadework operates fully in accordance with GDPR and the AI Act. All data is processed and stored in encrypted form by major EU cloud providers. We do not train AI models with personal data. Read our Privacy Policy for more information.

Why is off-the-shelf software a better investment than building it yourself?

Self-developing is slow, expensive, and difficult to maintain. Off-the-shelf software like Spadework is ready to use from day one, is continuously improved, and delivers faster returns with less risk.

What support do you provide?

You always get our team on the line immediately. No long waiting times or bots, but quick answers, personal onboarding, and guidance so you achieve results from day one.
